*and more! * *Position Summary* The Compliance Coordinator supports the administrative functions of the Code Compliance Team.
This position is responsible for overseeing administrative tasks, maintaining detailed case logs, and serving as the central communication unit for the team.
The Compliance Coordinator plays a crucial role in facilitating communication with the magistrate and attorney, ensuring compliance with municipal codes and regulations.
Responsibilities and Reporting During an Emergency Situation: If assigned, employees in this classification will be required to report and carry out duties as directed for the duration of an emergency.
Depending on the nature of the emergency, this may require working around the clock for several days on short notice.
EXAMPLES OF ESSENTIAL DUTIES · Provide comprehensive administrative support to the Code Compliance team.
· Assist in document preparation, scheduling, and coordination of meetings and events.
· Collaborate with Code Compliance officers and Town Attorney to ensure compliance with local, state, and federal regulations in the rebuilding process.
· Coordinate inspection schedules and logistics for Code Compliance officers.
· Assist in preparing inspection reports and documentation.
· Maintain precise and orderly records, documents, and files pertaining to the department while ensuring adherence to compliance and document retention policies.
· Maintain accurate and up-to-date case logs for the Code Compliance team.
· Track and document the progress of each case, ensuring that all relevant information is recorded and easily accessible.
· Manage and organize compliance-related documentation, ensuring accuracy and completeness.
· Work with the Town Attorney on ensuring that Code Compliance standards, practices and departmental documents are compliant and updated.
· Draft and maintain Magistrate schedule.
· Create, organize, and manage both physical and digital filing systems ensuring accessibility and compliance with records management guidelines.
· Act as the central point of contact for internal and external inquiries, promptly and professionally addressing requests for information through in-person interactions, phone calls, and email correspondence.
Refers correspondence to the appropriate department and staff members when necessary.
· Provide written updates and reports pertaining to complaints and other assignments as directed.
· Issue computerized communication and notices to community members as assigned.
· Generate regular reports on compliance activities, highlighting key achievements and areas for improvement.
· Assist in preparing reports for regulatory agencies and stakeholders.
· Assist in the preparation of information for agenda items for presentations at Council Meetings and/or the Special Magistrate as assigned.
· Maintain a variety of logs and records related to departmental activities.
· Assist with data entry tasks, data analysis, and report generation, emphasizing data accuracy and confidentiality.
· Collaborate with Town staff on various projects by offering administrative support, including research, data collection, and report preparation.
· Participate in forums and presentations as directed.
· Perform both routine and special projects as directed.
· Support inventory management of office supplies and offers suggestions for re-stock as needed.
· Coordinate departmental meetings, prepare meeting agendas, and distribute necessary materials for meetings as directed.
· May participate in preparation of the department’s annual budget including data entry, data collections and report preparation.
· Assist with department procurement to include creating PO, obtaining vendor quotes etc.
as assigned.
· Attend assigned trainings, seminars and other educational opportunities in order to maintain an updated understanding of relevant codes and standards.
· Attend meetings as assigned.
· Perform emergency response tasks and assignments as directed.
· Perform other duties as assigned.

) REQUIREMENTS: *Education, Certification, and Experience:* · High school diploma or equivalent certification.
· (3) Three years professional experience in an administrative role, preferably in a regulatory or compliance setting.
· Working experience in a government agency preferred.
*Knowledge, Skills, and Abilities:* · Knowledge of local building codes, zoning regulations, and compliance standards.
· Advanced knowledge of administrative and clerical procedures and systems such as managing files and records, transcription, and other office procedures and terminology · Advanced knowledge of principles and processes for providing outstanding customer service · Skill in working independently and following through with assignments with minimal direction.
· Working knowledge of record maintenance principles and techniques.
· Knowledge of the application of a variety of formats and styles, and editing principles and techniques.
· Knowledge of modern office equipment and various computer programs and applications.
· Proficient ability to operate a computer using Microsoft Office products (Word, Outlook, and Excel) and applicable financial and organizational software · Skill in written, verbal, electronic, and visual communications for effective expression and clarity.
The operation of various computer or other electronic devices.
· Effective organization, prioritization, and time management skills.
· Skill in creating correspondence while exhibiting professional writing.
· Skill to create and maintain spreadsheets with moderate to complex formulas and graphs, presentations, and databases.
· Ability to establish and maintain effective-working relationships with supervisor, support staff and staff from other departments and all others contacted in course of work.
· Ability to adapt to performing under frequent deadlines, re-prioritization of tasks and assignments, and in response to emergencies.
· Ability to follow oral and written instructions · Ability to organize work for timely completion · Ability to perform arithmetic computations accurately and quickly · Ability to regularly attend work and arrive punctually for designated work schedule *Physical Requirements:* * Task involves some physical effort in standing, bending, stooping, stretching and walking, or frequent moderate lifting (20 pounds); and standard dexterity in the use of fingers, limbs, or body in the operation of shop or office equipment.
