EXECUTIVE DIRECTOR
Reports to: Regional Director & St.
Petersburg Corporate Office COO½ FLSA Status: Full-Time, EXEMPT POSITION OVERVIEW The primary responsibility of the Executive Director position is direction of the overall operation, both financial and operational, of a Carlton Arms apartment community.
This is a highly responsible managerial position.
There are a broad range of responsibilities associated with the position that include, but are not necessarily limited to, general leadership, supervision, planning, fiscal management, tenant relations, employee relations, customer relations, site and Resident security, work place safety, employee training, inventory control, Resident interaction, etc.
ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES Prepares weekly rental and traffic reports.
Performs inspections of vacated apartments, completes move-out docs, and prepares reports, work orders, move-in sheets, etc.
Performs frequent inspections of the entire property, paying particular attention to building and grounds maintenance, safety and liability concerns, etc.
and makes assignments for repair, correction, etc.
Authorizes all purchases, generates purchase orders and maintains associated records.
Prepares and manages an operating budget and prepares a variety of reports for superiors, as directed.
Reviews, approves and signs leasing documents.
Performs credit checks for resident applications.
Enforces company policies, rules, procedures, etc.
associated with Residents and guests.
Prepares and serves legal notices upon Residents where appropriate.
Prepares and files eviction documents, attends court proceedings and accompanies law enforcement during eviction order enforcement.
Monitors inventory levels and directs the ordering of needed equipment and supplies.
Meets with Residents, Customers, Vendors, etc.
to resolve issues and concerns.
Monitors water consumption levels, maintains computer records, prepares and delivers inspection notices, schedules maintenance inspections, etc.
Provide direct supervision for all other employees at the property.
Prepares Resident newsletter and oversees distribution.
Monitors activities of leasing office and intercedes for staff members that encounter hostile customers.
Administers employee recognition and discipline, including termination.
Maintains employee records.
Reviews and approves all employee hiring, training and discipline, including terminations.
Monitors monthly employee safety training programs and generates reports for Company Risk Manager.
Investigates significant incidents (injury, property damage, etc.
) and prepares written and photo documentation.
Pursues compensation from responsible parties and insurance companies for losses suffered as a result of intentional or accidental negligence.
Prepare and administer annual operating budget.
Maintains lines of communication with superiors to insure they are kept informed of all issues of particular importance and to seek direction matters of major concern.
Maintaining computer database of Parking Violation Notices issued on the property; performing follow-up investigation to identify owners; authorizing the towing of repeat violator vehicles from property after insuring proper notice has been issued.
Reviewing, approving and signing all checks and financial documents for the property.
KNOWLEDGE, SKILL AND ABILITIES Minimum 5 years Property Manager / Supervisory Experience Strong Management skills Large property/facility management experience preferred Computer proficiency, preferably MAC, including Microsoft Office programs.
Ability to communicate with others in a clear and effective manner and to follow directions.
Ability to establish and maintain effective working relationships with co-workers and superiors.
Ability to apply sound decision-making Ability to demonstrate teamwork by assisting co-workers Ability to communicate professionally and adapt interpersonal skills to a variety of audiences Must have a valid Driver’s License PHYSICAL DEMANDS The physical demands described here are representative of those that must be met by an employee to successfully preform the essential job functions of this job.
